Privacy policy
Last updated October 17, 2026 · Version 2026-10-17-draft
This policy explains what personal data ReplaySwim ("we", "us") keeps when you use the ReplaySwim website and apps, why we keep it, how long we keep it, and how you can see or delete it. Our terms of service cover the rest of our agreement with you.
The short version
- We keep your films only to analyze them and show them to you and the people you share them with.
- We never use your films to train or improve our software.
- We do not sell your data.
- When you delete a film, the footage is deleted. We keep no copy.
- We keep payment records after a film or account is deleted.
What we keep
| Data | Examples | Why we keep it |
|---|---|---|
| Account details | Your name, email address and password (stored scrambled, so we cannot read it) | To give you an account and sign you in |
| Films | The video files you upload, and their name, size and date | To analyze them and show them to you and the people you share them with |
| Swimmer details | The names of the swimmers you add, and which films they are in | To sort your films by swimmer |
| Analysis results | Measurements, the coach's comments, drawings you add | This is the service you asked for |
| Things you write | Comments, questions to the coach, film titles | To show them to you and the people you share with |
| Sharing | Who you invited, and the share links you made | So the people you chose can see the film |
| Payment records | Date, amount, what was bought, the film's name and size, the swimmer's name, and the payment ID from Stripe, Apple or Google | For tax, accounting, refunds and disputes |
| Devices | A push notification ID for each phone you sign in on | To tell you when an analysis is ready |
| Technical data | Your IP address, browser type, error reports and server logs | To keep the service secure, stop abuse and fix problems |
We never see or store your card number. Stripe, Apple or Google handle the card and give us a payment ID.
Films of children
Swim films often show children. You may only upload a film of someone under 18 if their parent or guardian agrees (see the terms). We use these films in exactly the same limited way as every other film: only to make the analysis and show it to the people you choose. They are never used for training.
Our legal reasons (for people in the EU and UK)
GDPR asks us to say which legal reason we rely on for each use of your data.
| Use | Legal reason |
|---|---|
| Your account, films, analyses, sharing and payments | We need it to provide the service you signed up for (contract) |
| Payment records after deletion | We must keep them by law (tax and accounting), and we have a legitimate interest in handling refunds and disputes |
| Security, abuse prevention and error reports | Our legitimate interest in keeping ReplaySwim safe and working |
| Push notifications | Your consent, which you give in your phone's settings and can take back there at any time |
How we use your films
- To run the analysis you paid for.
- To show the film and the analysis to you, your team, and the people you share it with.
- To help you, if you ask for support or report a problem with an analysis.
That is all. We never use customer films to train or improve our computer vision. We improve it only with films that ReplaySwim made itself, of our own people.
Who at ReplaySwim can see your film
Only staff who need to: to answer a support request from you, to fix a problem you reported, or when the law requires it. Staff do not browse films.
Who else handles your data
We use other companies to run parts of ReplaySwim. They handle your data only on our instructions and only for the job we give them.
| Company | What they do | What they get |
|---|---|---|
| DigitalOcean | Hosting and file storage | Everything stored in ReplaySwim, including films |
| Stripe | Card payments on the website | Your email address and payment details |
| Apple and Google | In-app purchases and push notifications | Purchase details and your device's push ID |
| Postmark | Sending email | Your email address and the email we send |
| Anthropic | Writes the coach's comments | The measurements from your analysis and your questions to the coach. Not the video. |
| xAI | Turns the coach's comments into speech, when you ask for a spoken version | The text to be spoken. Not the video. |
| Sentry | Error reports | Technical details about an error, which can include your account ID |
| Cloudflare | Checks that a signup comes from a person, not a bot | Your IP address and browser details |
Some of these companies are in the United States. When your data goes from the EU or UK to the US, we rely on the safeguards the law provides for that, such as the EU-US Data Privacy Framework or standard contract clauses.
We do not sell your personal data, and we do not share it with advertisers.
How long we keep it
| Data | How long |
|---|---|
| Films and everything made from them | Until you delete the film or your account |
| Account details | Until you delete your account |
| Payment records | After the film or account is deleted, for as long as tax and accounting law requires, and while a refund or dispute could still be raised |
| Server logs and error reports | A short time, usually no more than 90 days |
Deleting your data
- Delete a film from the film's page. The footage, the analysis, comments, drawings and share links are deleted. We keep no copy.
- Delete your account in the app (Settings, then Delete account) or on the website (account menu, then Settings). You can also ask us at replayswim@zincan.com. Everything you own is deleted, along with your name and email address. Payment records are kept. The terms of service explain what happens to a team account.
Your rights
You can ask us to:
- Show you the personal data we have about you, and give you a copy.
- Correct data that is wrong.
- Delete your data.
- Stop or limit some uses of your data.
- Give you your data in a format you can take elsewhere.
Email replayswim@zincan.com. We answer within one month. If you live in the EU or UK and are not happy with our answer, you can complain to your local data protection authority.
If you live in California or another US state with a privacy law, you have similar rights, and we will not treat you differently for using them.
Children
You must be at least 13 to create an account. Swimmers under 13 can appear in films that a parent, guardian or coach uploads, with the permission described above. If you think a child under 13 has created an account, email us and we will delete it.
Security
Films and data are stored on servers that only ReplaySwim can reach. Film links are private and expire after a short time. Passwords are stored scrambled. No system is perfectly secure, so we will tell you, and the authorities where the law requires it, if a breach affects your data.
Changes to this policy
If we change this policy in a way that matters, we will ask you to accept the new version the next time you use the app. The date and version at the top of this page show which version is in force.
